Understand the different roles in ClearAccess and what each can do within an estate or facility.

Roles and Permissions

ClearAccess uses a role-based access control (RBAC) system to ensure that residents, security teams, and estate managers have the appropriate level of access to the platform.

Role Overview

Role Primary User Key Responsibilities
Owner Estate Developer / Lead Admin Full platform control, billing, and high-level configuration.
Manager Estate Manager / Facility Head Day-to-day operations, member management, and analytics.
Member Resident / Lead Staff Creating guest passes and managing their own "Associate" list.
Security Gate Guard / Receptionist Scanning and verifying guest passes at entry points.
Associate Family Member / Domestic Staff Using passes issued via their principal Member's account.

Role Details

Owner

The Owner is the person who created the organization. They have absolute control over the account, including the ability to delete the organization or change billing plans. Every organization must have at least one Owner.

Manager

Managers are the operational heartbeat of the estate. They can see all movement records, manage the list of residents (Members), and enforce estate policies like levy compliance at the gate. See the Manager Guide for more.

Member (Resident)

A Member is typically a primary resident or a head of household. They use ClearAccess to generate guest passes for their visitors. They can also top up their wallet to cover visitor fees or other estate charges. Learn more in the Resident Guide.

Security (Guard)

Security roles are designed for the personnel at the gate. Their interface is optimized for one thing: scanning QR codes and moving visitors through the gate as quickly as possible. They do not have access to sensitive resident data or billing info. See the Guard Guide for operational details.

Associate

Associates are secondary users linked to a primary Member (e.g., a spouse, child, or live-in staff). They can use the access privileges of the principal Member but cannot invite other members or manage the household wallet.
